Privacy Policy

General Information 


Let’s Give Together (“LGT,” “we,” “us,” or “our”) is a registered Canadian charity that is dedicated to helping organizations serve members of the community who are experiencing homelessness (“Customer Supported Individuals”). In furtherance of this goal, LGT provides organizations (“LGT Customers”) with the Mozaics platform, which is powered by Infinity Innovations Inc.’s Infinity software (the “Software”), which is described in more detail below.  


LGT’s relationship with each LGT Customer is governed by a customer agreement (“Customer Agreement”). Accordingly, LGT obtains the personal information and personal health information (“PHI”) belonging to Customer Supported Individuals that LGT Customers input into the Software or the personal information belonging to LGT Customers’ employees (collectively, “you” or “your”) that LGT Customers provide to LGT. LGT uses all such personal information in accordance with the applicable Customer Agreement. In this Privacy Policy (“Policy”), personal information means information about an identifiable individual. 



About the Software 


The Software is an information management platform. It allows LGT Customers’ employees to record, manage, and use personal information and PHI they obtain from Customer Supported Individuals for the purpose of enhancing the services LGT Customers provide to those individuals. For example, LGT Customers can record information about the needs of the individuals they serve and schedule and track services, like clothing or laundry services, to ensure that each individual’s needs are being met.  

The Software also facilitates the sharing of that information among LGT Customers. For example, LGT Customers can track when an individual has been referred to an external organization for services, the reason for the referral, and, if the external organization is also a LGT Customer, they may get an update about the referral. Doing so allows organizations to work together to better serve those in our communities who need support.  

LGT never collects any personal information or PHI directly. All personal information or PHI recorded on the Software is collected directly by LGT Customers. Additionally, unless otherwise expressly set out in this Policy, LGT does not collect, use, share, process, analyze, aggregate, compile, or otherwise use the personal information or PHI it receives from LGT Customers.   



Purpose of the Policy 


This Policy explains how LGT obtains, uses, stores, and discloses personal information, including PHI. This Policy applies to all personal information within LGT’s possession and control including, but not limited to, personal information obtained through LGT Customers who use the Software and through LGT’s websites, mobile applications, platforms, and services (collectively with the Software, the “Services”).  

We are committed to protecting your privacy and ensuring compliance with all applicable laws and regulations, including the Personal Information Protection and Electronic Documents Act (“PIPEDA”). 



Consent 


LGT Customers should read this Policy carefully to understand LGT’s policies and practices and to understand LGT Customers’ responsibilities. LGT Customers are responsible for their own privacy compliance, including managing the consent of Customer Supported Individuals and their employees in connection with LGT Customers’ use of the Software. If you are an LGT Customer, you acknowledge that you have obtained appropriate consents from your employees and the Customer Supported Individuals that you assist in connection with the collection of their personal information and the sharing of same with LGT and other LGT Customers that provide services to Customer Supported Individuals. 



1. Introduction 


LGT is dedicated to protecting the personal information in its custody and control. This Policy explains: 

  • What types of information we collect;  
  • How we use that information; 
  • The measures we take to protect personal information; 
  • An individual’s rights regarding their personal information; and 
  • How to contact us regarding privacy concerns. 



2. Information We Collect 


2.1 Personal Information 


 Personal information that LGT Customers may input into the Software includes: 

  • Name, address, email address, telephone number; 
  • Health status or conditions; 
  • Medical records or treatment information; and 
  • Information necessary for the management of health-related assets or services.
     

For the avoidance of doubt, the above noted information is not collected directly by LGT.  LGT may, however, collect usage data in connection with the use of its Services such as log files, IP address, browser type, operating system details, and otherwise aggregated and anonymized data.

 

3. How We Use Your Information 


We use the personal information we collect for the following purposes: 

  • To Provide and Maintain the Services: Ensuring the Software operates smoothly and meets LGT Customers’ needs and otherwise provide the Services; 
  • Account Administration: Managing registration, account access, and LGT Customer support; 
  • Service Improvement: Analyzing usage data to improve the Services and develop new features; 
  • Communication: Sending Service-related notices, updates, and marketing communications (see Section 12, below, for more detail); 
  • Compliance and Legal Obligations: Meeting our obligations under applicable laws and regulations, including PIPEDA;
  • Research and Reporting: To facilitate LGT’s ongoing efforts to end homelessness, LGT may use personal information, including PHI, that has been de-identified or anonymized, and in some cases aggregated with data from other databases, to conduct research and prepare reports with the goal of providing insights into, among other things, the causes of homelessness, the inefficiencies of available support services, and the unmet needs of Customer Supported Individuals. LGT’s goal is that its research and reports will help positively inform government policy; and 
  • Other Lawful Purposes: LGT may collect personal information for other purposes where it has a legal duty or right to do so, where LGT has a good faith belief that it is necessary to protect the property or rights of LGT, or LGT has a legal duty or right to do so 

(collectively, the “Authorized Purposes”). 


LGT does not collect personal information for any other purposes, unless it has the consent of the individual to whom it relates. LGT does not process, aggregate, combine, or otherwise use the personal information of Customer Supported Individuals except as set out in this Policy.  


 

4. How We Share Personal Information 


LGT only uses or discloses personal information as reasonably required to facilitate the Authorized Purposes listed above. We do not sell, trade, or otherwise transfer personal information to third parties except as described below: 

  • Service Providers: We may share personal information with trusted third-party service providers who assist us in operating the Services, processing payments, or delivering customer support. These providers are bound by confidentiality obligations. 
  • Research & Reporting: We may share personal information with trusted third-party research partners that may assist us with aggregation and/or de-identification or anonymization of personal information and in conducting research and preparing reports as described in Section 3, above. These research partners are bound by confidentiality obligations.  
  • Legal Compliance: We may disclose personal information when required by law, regulation, or legal process, or to protect the rights, property, or safety of LGT, our users, or others. 
  • Sharing Among LGT Customers: As noted in the “About the Software” section, above, LGT does not share personal information. The Software does, however, enable the LGT Customers to share personal information with each other. LGT Customers are responsible for obtaining the necessary consents relating to the collection, use, and sharing of personal information and for their compliance with all applicable privacy laws. LGT simply stores and safeguards that information on behalf of the LGT Customers. 


For PHI, disclosures will be strictly limited to what is necessary for Service delivery or as required by law. LGT does not otherwise use or disclose personal information unless LGT has an individual’s consent or LGT has a good faith belief that disclosure of the information is necessary to protect the rights or property of LGT. 5. Legal Compliance 


LGT is committed to complying with all applicable privacy laws: 

  • PIPEDA Compliance: In accordance with the Personal Information Protection and Electronic Documents Act, we implement policies and procedures to ensure that personal information is handled in a manner that respects privacy rights and meets all regulatory standards. 


 

6. Data Retention 


We retain personal information only for as long as is necessary to fulfill the purposes for which it was collected, to comply with our legal obligations, and to enforce our agreements. Specific retention periods depend on the nature of the information and the applicable legal requirements. 


 

7. Data Security 


We employ a variety of security measures to protect personal information against unauthorized access, alteration, disclosure, or destruction. These measures include: 

  • Technical Safeguards: Encryption, secure servers, and access controls. 
  • Organizational Measures: Regular staff training, internal policies, and restricted access to sensitive data. 


The protection of personal information is of paramount concern to LGT, and LGT is prepared to take appropriate and timely steps in the event of any incidents involving personal information in accordance with applicable privacy laws. In accordance with applicable privacy laws, LGT will notify individuals if their personal information is subject to a breach, and the breach creates real risk of significant harm.Shape 



8. Access, Correction, and Deletion 


LGT makes every reasonable effort to ensure that personal information is accurate and complete. This may involve requesting further information or updates from individuals. LGT relies on individuals to notify it if there is a change to their personal information that may affect their relationship with LGT, which should be managed by and through the appropriate LGT Customer.  


If you wish to exercise any of these rights, please contact the applicable LGT Customer. If you do not know who the applicable LGT Customer is, please contact us for more information using the information provided in Section 13. 


 

9. Cookies and Tracking Technologies 


The Services may use cookies and similar tracking technologies to enhance your user experience, analyze usage, and deliver personalized content.  “Cookies” are small text files placed on computers that can collect and store a variety of information. Permanent cookies are stored indefinitely on a user’s hard drive unless manually deleted, while temporary cookies are automatically deleted from the user’s browser upon logging out of a website. You can typically adjust your browser settings to refuse cookies; however, doing so may affect the functionality of the Services. 


You should also be aware that anonymous technical information may be collected by LGT as a result of your use of the Services. For example, this information may include the visitor’s IP address, browser type, operating system, domain name, access times and referring website addresses. LGT uses this anonymous technical information for purposes such as diagnosing problems with LGT’s servers, improving the operation and content of the Services and compiling aggregate and statistical information. 


LGT will not attempt to link or match such anonymous technical information with any personally-identifiable information unless LGT has an individual’s consent, LGT (or its service providers) have detected or reasonably suspect any unlawful use of the Services or a security breach, or LGT has a legal duty or right to do so.

Please note that the Services may contain links to other websites. LGT is not responsible for the privacy practices used or followed by other websites. You are encouraged to be aware of when you leave the Services, and to read the privacy statements of each and every website you may visit that may collect personal information from you. 


 

10. Storage and Transfers 


Personal information is stored and maintained on LGT or its service providers’ cloud-based servers located within Canada.  


 

11. Changes to This Privacy Policy 


We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. We will post the updated Privacy Policy on our website and indicate the effective date of any such update. LGT Customers are responsible for obtaining appropriate and continued consent of their employees and Customer Supported Individuals in connection with any updates to the Policy. 


 

12. Communications from LGT 


LGT and its affiliates may use personal information to inform individuals of current and/or new products or services or other developments that LGT or its affiliates or partners believe will be of interest to individuals in accordance with applicable laws including Canada’s Anti-Spam Legislation. Such communications may be made by way of telephone, text message, direct messaging, e-mail, fax or regular mail. Individuals provide their consent to LGT and its affiliates and partners contacting them in this manner when they opt-in or use the Services. Individuals may opt-out of receiving such communications by contacting LGT at the address below. For the avoidance of doubt, LGT does not use the personal information of Customer Supported Individuals in this manner.
